This policy explains what personal data we collect when you interact with our website, our advertisements on Facebook and Instagram, and our WhatsApp or Messenger chat, and what we do with it.

2. What personal data we collect

Information you give us directly

Via our website enquiry form: name, email address, phone number, business name, and the service you’re interested in (Bookkeeping, VAT Returns, Self-Assessment, Corporation Tax, Full Package, or Not Sure).
Via WhatsApp: your phone number, your WhatsApp profile name/photo (if set), and the content of any messages you send us.
Via Facebook Messenger: your Messenger/Facebook profile information (such as your name and profile picture) and the content of any messages you send us.
If you contact us directly by phone or email: whatever information you choose to share with us.
If you become a client: additional information needed to provide our services — for example financial records, bank statements, HMRC and Companies House details, and identity verification documents required under anti-money laundering regulations. This is covered in more detail in your client engagement letter.

Information we collect automatically

– Technical data such as your IP address, browser type, device information, and pages visited on our website.
– Advertising identifiers passed from Meta when you click one of our ads (for example, click IDs used to measure whether an ad led to an enquiry).
– Cookies and similar technologies — see Section 6.

3. How and why we use your data

4. Advertising and chat via Meta (Facebook, Instagram, Messenger, WhatsApp)

We run ads on Facebook and Instagram, some of which direct people to chat with us on Messenger or WhatsApp, and others to our website.

When you click one of these ads and start a conversation with us:
Meta Platforms Ireland Limited (or Meta Platforms, Inc., depending on your location) processes some of your data as an independent controller, under Meta’s own privacy policies — see [Meta’s Privacy Policy](https://www.facebook.com/privacy/policy/) and [WhatsApp’s Privacy Policy](https://www.whatsapp.com/legal/privacy-policy). We don’t control how Meta itself uses that data, and this policy only covers what we do with the information once we receive it.
– We receive the content of your messages and your contact details (phone number for WhatsApp, or Messenger profile details) so we can respond to your enquiry and follow up with you, including by phone or email if you provide it.

5. Who we share your data with

We don’t sell your personal data. We share it only where necessary with:
Meta Platforms, as described in Section 4, when you engage with our ads or chat with us on Messenger/WhatsApp.
Service providers who support our business, such as our website hosting provider, email provider, and (if applicable) CRM software — each only accesses what they need to perform their function for us.
Regulators and authorities such as HMRC, Companies House, or law enforcement, where we’re legally required to disclose information.
Professional advisers (e.g. our own accountants, auditors, or lawyers) where necessary.

6. Cookies and similar technologies

Our website uses the following categories of cookies:

Strictly necessary cookies — required for the website to function. These don’t require consent.
Analytics/functionality cookies used solely for aggregate statistics — where used only to understand overall website usage (not to build advertising profiles), these may be used without prior consent under current UK cookie rules.
Advertising and tracking cookies (for example, the Meta Pixel, used to measure ad performance and build retargeting audiences) — these are not set until you give consent through our cookie banner. You can withdraw consent at any time via

7. International transfers

Where Meta or another service provider processes data outside the UK (for example, in the United States), that transfer is made subject to appropriate safeguards, such as the UK Addendum to the EU Standard Contractual Clauses or an equivalent approved transfer mechanism.

8. How long we keep your data

Enquiry/lead data (from people who contact us but don’t become clients): kept for 24 months from your last contact with us, after which it’s deleted unless you ask us to keep it or re-engage with us.
Client data: kept for as long as our engagement continues, and afterwards for the period required by law (accounting and tax records typically need to be retained for several years after the relevant tax year)
– You can ask us to delete your data sooner, subject to our legal retention obligations — see Section 9.

9. Your rights

Under UK GDPR, you have the right to:
– Access the personal data we hold about you
– Ask us to correct inaccurate data
– Ask us to delete your data (“right to be forgotten“), where applicable
– Restrict or object to certain processing
– Receive your data in a portable format
– Withdraw consent at any time (for marketing or cookies), without affecting processing already carried out

10. Marketing preferences

If you’ve opted in to receive marketing from us, you can opt out at any time by clicking “unsubscribe” on any marketing email, or by messaging us on WhatsApp/Messenger or emailing hello@swaccountslimited.com to ask us to stop.

11. Children’s privacy

Our services are intended for business owners and are not directed at children. We don’t knowingly collect personal data from anyone under 18.

12. Keeping your data secure

We use appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse.
